Required Documents Checklist for DTEF Sponsorship

Don't let a missing paper delay your future. Use this checklist to gather all necessary documents for your DTEF application.

When applying for DTEF sponsorship via the official online portal, you will be required to upload digital copies of several vital documents. Missing documents or illegible scans are among the most common reasons for application rejection. Use this checklist to gather your paperwork well before the deadline.

The Essential Document Checklist

  1. Valid National Identity Card (Omang): This is mandatory for all citizens over 16. Ensure the scan shows both the front and back of the card clearly, and check that the card has not expired.
  2. Admission Letter: You must provide a clear copy of your official, unconditional letter of admission from your chosen tertiary institution. Ensure the institution is on the approved list.
  3. Academic Certificates/Transcripts: A certified copy of your BGCSE certificate (or equivalent). If you are applying for progression (e.g., Diploma to Degree), you will need the transcripts and certificate from your previous tertiary qualification.
  4. Affidavit (If Applicable): If there is a discrepancy in your names across your documents (e.g., your Omang name differs slightly from your BGCSE certificate), you must provide a legally sworn affidavit explaining the discrepancy.
  5. Proof of Change of Name (If Applicable): Marriage certificates or official deed polls if your name has legally changed.

Special Cases (Orphans and Vulnerable Children - OVC)

The Government of Botswana has special provisions to support OVCs. If you fall under this category and are applying for the specific OVC cut-off consideration, you must provide additional documentation:

  • Official registration letter from the Department of Social Protection or the relevant Social Worker confirming your OVC status.

Scanning Tips for Online Upload

Gathering the documents is only half the battle; uploading them correctly is crucial.

  • Scan, Don't Snap: Use a proper scanner or a high-quality scanning app on your smartphone (like CamScanner or Adobe Scan). Do not just take a poorly lit photo with your camera, as glare and shadows make documents unreadable.
  • File Format: Save your documents as PDF files. The DTEF portal usually prefers or requires PDFs.
  • File Size: Ensure the file size is not too large (usually keep it under 2MB per document), or the portal may reject the upload. You can use free online PDF compressors if your files are too big.

Once you have all these documents scanned and saved on your device, you are ready to proceed to the application portal.
